HQ Building Manager

Job Title: HQ Building Manager

Department: Group Executive Board

Salary: Negotiable - Dependent on Experience

Reports To: Chief Operating Officer 

This is an exciting opportunity in a newly created role in our well respected, successful, growing Group of companies.

The successful candidate will be working with the Group Executive Board supporting the Group Companies in achieving their objectives.

Overall Job Purpose

To uphold an Efficient and Professional Head Quarters (HQ) by ensuring the professional image of the Group through appearance of people, buildings and equipment, and to develop and implement the Group Head Quarters policies and processes.

Scope of Job

Reporting to the Executive Board, the post holder will be responsible for the overall professionalism and standards of the Group Head Quarters including management of the Guest relations

Main Duties

  • Develop, implement and administer the HQ policies, procedures, and processes to help align all members with the vision and culture of the Group.
  • Monitor, review and audit all Office Etiquette, Security and Internal and External Facilities across the Group and ensure the professional image and safe environment is maintained at all times.
  • Positively contribute to a safe work environment ensuring compliance with Health and Safety procedures.
  • Implement safe working practices for all Group businesses to ensure safety of building occupiers and visitors.
  • To monitor that all Policies and Processes are adhered to within the Group businesses and audits are completed on behalf of the Executive Board
  • To ensure that all aspects of the Group policies and procedures are adhered to and completed to the highest standards.
  • Develop strong communication and reporting skills with the businesses, ensuring any Office, security or Facilities issues and/or change of processes are communicated on behalf of the Group.
  • Benchmark, analyse, report on, and deliver continual business improvements and new systems in relation to the Head Quarters and Facilities, with focus being on delivering tangible value to the business.
  • To manage and drive continual business improvement and new systems in relation to the Head Quarters and Facilities ensuring that the projects initiatives are delivered in accordance with our project/delivery methodology and to a high level of stakeholder satisfaction.
  • Manage the co-ordination of business meetings, to attend meetings, take minutes and provide administrative support in relation to any actions or matters arising as directed by the Executive Board.
  • To ensure that confidentiality is maintained at all times.
  • To champion the Core Values of the Group at all times.
  • Commitment to own appropriate continuous professional development.
  • Any other duties commensurate with the post including but not limited to:

Building Management and Facilities

  • Increasing and maintaining the value of the newly refurbished head quarters;
  • Opening and Closing
  • Regular daily floor walks
  • Responsible for the running, functionality and maintenance of the building and its facilities
  • Ensuring any legal covenants are adhered to
  • Organising, arranging and coordinating all meetings taking place within the building including training, staff meetings, management and executive meetings
  • Ensuring all facilities and requirements are maintained to the highest standard
  • General management of security and attending to security matters upon the request of the Executive Board
  • Management of internal office moves and refurbishment
  • Cleanliness
  • Weekend operations
  • Meeting and conference room diary arrangements
  • Management of the kiosk booking system office workers

Guest Relations Management

  • Managing all internal and external meetings including dealing with arrival, departure and coordination of all guests
  • Ensuring facilities are maintained at an exceptional, pristine standard for any guests
  • Handling phone calls
  • Acting as back up for the front of house guest relations members
  • Organising and coordinating
  • Staff engagement including managing and overseeing catering facility
  • Managing the Front of House Guest Relations Officer
  • Acting as back up for the Guest Relations Officer
  • The delivery of outstanding customer service to all guests is paramount to every task completed.

Security Management

  • Monitoring and reporting of CCTV footage to the Executive Board where requested
  • Designing processes
  • Door access control
  • Conducting warehouse spot checks

Executive Reporting

  • Preparing daily, weekly and monthly Guest Relations and Building Management manifesto for the Executive Board
  • Reporting to the COO on a daily basis
  • Reporting any incidents to the Executive Board in compliance with internal procedures
  • Conducting internal audits
  • Working in conjunction with the Executive Board in designing and developing HQ front end and back end processes


  • Strong written and verbal communication skills at all levels;
  • Strong IT skills including; Word, Excel and Outlook;
  • Strong time keeping, presentation and organisational skills;
  • Proactive attitude and a sharp intelligent outlook;
  • A meticulous eye for detail;
  • Ability to work to and achieve various competing deadlines and priorities;
  • Ability to effectively work in a fast-paced and changing environment;
  • Ability to act as an intermediary between the Executive and Group Businesses and stakeholders;
  • Ability to Research, Analyse and Present any recommendations;
  • Ability to build effective working relationships at all levels and departments, up to and including the Executive Board.

Please note that the salary on offer is wholly dependent on the skills, experience and value obtained of the successful applicant. This position therefore has a truly negotiable salary, which will be discussed further as part of the recruitment process.
